3. Personal data protection

CEPOL is committed to user privacy.

The policy on "protection of individuals with regard to the processing of personal data by the Community institutions" is based on Regulation (EC) N° 45/2001 of the European Parliament and of the Council of 18 December 2000. This general policy covers the European Union's family of institutional websites, within the europa.eu domain.

What information is collected and for what purpose?

Although you can browse through most of the CEPOL website without giving any information about yourself, in some cases, personal information is required in order to provide the extra services you request, particularly for users applying for an account in order to access CEPOL’s sub-systems. In addition to the personal information required when you apply for an account, once granted, you may be asked to add further personal information in some sub-systems and should be aware that the information you provide may be viewable by other users of that sub-system.

Such information is treated according to the policy described in the Regulation (EC) N° 45/2001 and is collected only to the extent necessary to provide the requested service. In this respect:

  • For each specific service, designated persons determine the purposes and means of the processing of personal data and ensures conformity of the specific service with the privacy policy;
  • For all EU Institutions and Agencies, the European Data Protection Supervisor will act as an independent supervisory authority (see art. 41 to 45 of the Regulation).

The CEPOL website provides links to third party sites. Since we do not control them, we encourage you to review their privacy policies.

Who has access to your information and how is it protected?

The CEPOL website uses Google Analytics, a web analytics service provided by Google, Inc. ("Google"). Google Analytics uses "cookies", which are text files placed on your computer, to help the website analyse how users use the site. The information generated by the cookie about your use of the website (including your IP address) will be transmitted to and stored by Google on servers in the United States. Google will use this information for the purpose of evaluating your use of the website, compiling reports on website activity for website operators and providing other services relating to website activity and internet usage. Google may also transfer this information to third parties where required to do so by law, or where such third parties process the information on Google's behalf. Google will not associate your IP address with any other data held by Google. You may refuse the use of cookies by selecting the appropriate settings on your browser, however please note that if you do this you may not be able to use the full functionality of this website. By using this website, you consent to the processing of data about you by Google in the manner and for the purposes set out above.

Within CEPOL, only designated persons can access your data.

How can you access your data?

Registered users can access their own data to modify the data supplied. Registered users cannot delete their account from the system. If you wish to delete your account, or have any questions concerning any of this information, please send an email to: webmaster@cepol.europa.eu.

How long do we keep your data?

All non-personal data is stored as long as required to provide the services requested. As to personal data, the Agency policy is to have data removed after a maximum period of five years.

How do we treat emails you send us?

Some pages on the CEPOL website have a link to other CEPOL contact mailboxes or individual email addresses, depending on the service you are requesting. When you send such a message, your personal data is collected only to the extent necessary to reply. If the management team of the mailbox is unable to answer your question, your email may be forwarded to another mailbox or individual. If you have any questions about the processing of your email and related personal data, do not hesitate to include them in your message.

Data Protection Statement

All personal data collected by the Agency are processed in accordance with the provisions of Regulation (EC) N° 45/2001 of the European Parliament and of the Council of 18 December 2000 on the protection of individuals with regard to the processing of personal data by the Community institutions and bodies and on the free movement of such data.

As a general principle, the Agency only processes personal data for the performance of tasks carried out in the public interest on the basis of the Treaties establishing the European Communities or in the legitimate exercise of official authority vested in the Agency or in a third party to whom the data are disclosed.

All processing operations of personal data are duly notified to CEPOL's Data Protection Officer and, if the case arises, to the European Data Protection Supervisor.

The Agency guarantees that the information collected is processed and/or accessed only by the members of its staff responsible of the corresponding processing operations.

Unless specified differently in the CEPOL’s Data Protection Officer’s Register, all natural persons providing personal information to the Agency by means of paper or electronic form are deemed to have unambiguously given their consent for the subsequent processing operations in application of Article 5(d) of Regulation 45/2001. Data subjects have the right to access and rectify their data on written request to be addressed to the Agency.

4. Forums

"Forums" means the message boards, chat functions or email functions offered as part of this website and its sub-systems. The forums are provided to exchange information and opinions on CEPOL related topics. If you participate in forums, you must not:

  • Defame, abuse, harass or threaten others;
  • Make any bigoted, hateful, or racially offensive statements;
  • Infringe human rights;
  • Advocate illegal activity or discuss illegal activities with the intent to commit them;
  • Post or distribute any material that infringes and/or violates any right of a third party or any law;
  • Post or distribute any vulgar, obscene, discourteous, or indecent language or images;
  • Infringe authors' right;
  • Advertise or sell to or solicit others;
  • Use the feedback for commercial purposes of any kind;
  • Post or distribute any software or other materials that contain a virus or other harmful component; or
  • Post material or make statements that do not generally pertain to the designated topic or theme of any chats or message boards.

CEPOL reserves the right to remove or edit content from any part of the forums at any time and for any reason.

By submitting any materials to the forums, you automatically grant (or warrant that the owner of such materials expressly granted) us a perpetual, royalty-free, irrevocable, non exclusive right and license to use, reproduce, modify, adapt, publish, translate, publicly perform and display, create derivative works from and distribute such materials or incorporate such materials into any form, medium, or technology now known or developed in the future.

Information obtained in forums may not be reliable. CEPOL cannot be held responsible for the content or accuracy of any information, and shall not be responsible for any trading or investment decisions made based on such information.
